Gamers Assembly feedback with Ephoto Dam

An iconic esports event, the Gamers Assembly brings together amateur and professional players from France and around the world each year to compete over three days in Poitiers. With over 20,000 visits and 2,200 participants, the use of a DAM solution became necessary to manage all the asset flows produced before, during, and after the event.

A DAM enters the gaming universe

Starting as a meeting between friends to play at one of the most anticipated events of the year for players, the Gamers Assembly saw its challenges evolve over the editions and had to find a solution to centralize and store thousands of contents created during the GA (Gamers Assembly). Pierre-Louis Dessuges, president of the FuturoLAN Association and head of the Scene Pole of the Gamers Assembly, talks about the implementation of our Ephoto Dam solution within the communication pole of the association.

The challenges of DAM for events

When it was created in 2000, the GA attracted only a few hundred people. But from edition to edition, the popularity of the event meant that there were more and more players, which raised several questions.

“With the success of the GA, the size of the event quickly increased, as did the number of photos. It had become unmanageable.”

Today, between 6,000 and 8,000 photos are produced during the event by 13 photographers. The needs are multiple, both live during the 3 days and in the months before and after the event. The communication team posts many photos on their social networks (X, Instagram, Facebook) for both players and visitors.

Reactivity is therefore one of the biggest challenges of this event. The communication team must react instantly to the highlights of the day, depending on the ongoing games and the players present. Sometimes, personalities are invited (for example, in 2019, the YouTubers Inoxtag and Michou were present) and their participation must be highlighted.

Therefore, a powerful tool was needed, allowing to import, search, and quickly distribute media, while being intuitive for the communication team, who cannot necessarily be trained as daily users, being volunteers.

Einden has always supported local projects and it was obvious for our team that a partnership with the FuturoLAN association had to be born. So in 2018, we made our Digital Asset Management software available to them. A 7-year partnership now that improves the management of their content.

Partners in the spotlight thanks to DAM

This event is organized and managed by volunteers, but the stakes are at a professional level today. The support of partners is therefore crucial to sustain and improve the visibility of the event at the national level. Highlighting them on the various communication media of the GA is therefore essential.

One of the benefits of Ephoto Dam that Pierre-Louis highlights is the ease of finding photos that highlight their participation (posters, animations, stands, stage time) thanks to a keyword system. Similarly, it is easy to share key moments of the event with them through albums created within the solution and easily shareable via a link.

Keeping the event history

Beyond a storage and centralization tool for their media, Pierre-Louis also highlights the benefits this tool brings to enhance the history of the Gamers Assembly.

“All our history is there since the 1st Gamers Assembly”

Preserving knowledge and passing on to the teams, partners, and visitors the richness of the event is very important.

Towards even simpler content management

To further improve the user experience for both teams and partners, a Front Office is currently being implemented, which will facilitate the promotion and availability of event images.
